Privacy policy
How we collect, use and protect your personal information. Built to meet PIPEDA, hosted in Canada.
Scope. This policy covers the flowaxis.ai marketing site. Our clients' use of the FlowAxisTM application is governed by a separate service agreement and its data processing addendum.
1. Privacy officer
StemJee Inc., which publishes FlowAxis, is accountable for the personal information collected through this site. Our privacy officer is Steve Johnston, President of StemJee Inc.

2. Information we collect
Information you give us
When you fill out our demo or contact form, we collect: your first name, last name, work email, company name, team size, area of interest and the message you send us.
Information collected automatically
When you visit, our servers and those of our host log technical data: IP address, browser and device type, pages viewed, date and time. These logs support security and the proper operation of the site.
Booking a call
If you book a call, the scheduling tool collects the details you enter (name, email, chosen time slot) to set up the meeting.
3. Why we use it
- Respond to your requests and prepare a demo suited to your context.
- Communicate with you about FlowAxis, only in relation to your request.
- Keep the site secure, prevent fraud and maintain it.
- Understand site usage in aggregate to improve it.
We do not use your information for third-party advertising and we do not sell it.
4. Our basis for using it
We rely on your consent, which you give by sending us the form, and on our legitimate interest in responding to a request you started. You can withdraw your consent at any time (see section 9).
5. Where your information is hosted
Data sovereignty is central to FlowAxis. The application's operational data is hosted in Canada, at OVHcloud in Beauharnois. The marketing site is delivered by Cloudflare's network, a US company whose edge servers span the world: Canadian visitors are normally served from Montreal. 6. Subprocessors and trusted third parties
We rely on a small number of providers to run the site. Each accesses only the information needed for its function:
- Marketing site delivery: Cloudflare (Cloudflare Pages).
- FlowAxis operational infrastructure and data: OVHcloud, in Beauharnois (Canada).
- Scheduling: Calendly.
- Email and communications: Microsoft 365 (StemJee Inc.).

7. Transfers outside Quebec
Some of our providers (Cloudflare, Microsoft, Calendly) are US companies: their services may involve processing information outside Quebec. Before any such transfer, Law 25 requires us to carry out a privacy impact assessment (PIA) and to enter into a written agreement ensuring adequate protection. We limit what we transmit to the strict minimum, mainly professional contact details and technical logs.
8. How long we keep it
We do not store form submissions in a database: they reach us by email and are not kept beyond handling your request. Technical logs needed for security are kept for a short period, then deleted.
9. Your rights
Under PIPEDA and Quebec's Law 25, you have the right to:
- access the information we hold about you;
- have it corrected if it is inaccurate or incomplete;
- withdraw your consent and ask us to stop using it;
- ask how your information has been used and to whom it has been disclosed;
- receive your information in a structured, commonly used technological format (portability).
10. Automated decisions
The site makes no decision about you based exclusively on automated processing. If a module of the FlowAxis application were to do so, you would be informed and could submit your observations to a person for review.
11. Cookies
In normal use, the site sets no cookies for analytics, advertising or profiling. Our delivery provider (Cloudflare) may set a strictly necessary security cookie only if it detects suspicious activity. No identification, location or profiling function is enabled by default. If we ever add analytics, we will inform you and offer a way to turn it off.
12. Security
We use reasonable technical and organizational safeguards to protect your information against loss, unauthorized access and disclosure. No transmission over the Internet is perfectly secure, but we limit access to the people who need it.
13. Confidentiality incidents
In the event of a confidentiality incident (for example unauthorized access) that presents a risk of serious injury, we will promptly notify the Commission d'accès à l'information and the individuals concerned. We keep a register of confidentiality incidents, which we provide to the Commission on request.
14. Children's information
FlowAxis is a service for businesses. The site is not directed at children and we do not knowingly collect their information.
15. Exercising your rights or filing a complaint
To exercise a right or ask a question, write to our privacy officer (section 1). We respond within the timelines set by law.
If our response does not satisfy you, you may file a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in Quebec, the Commission d'accès à l'information (cai.gouv.qc.ca).
16. Changes to this policy
We may update this policy to reflect changes to our practices or to the law. We publish the current version on this page and show its date. For material changes, we take reasonable steps to notify you.
